Job Summary: We are looking for a detail-oriented and organized Proposal Writer to manage the administrative and operational aspects of RFP (Request for Proposal) responses, ensuring timely and high-quality submissions to prospects and clients. This role is ideal for someone eager to grow their expertise in proposal writing, process optimization, and cross-functional collaboration while contributing to a fast-paced and dynamic environment.

As a key contributor to the proposal process, you will collaborate with Sales, Client Success, Marketing, Underwriting, Clinical, and Network teams to coordinate, track, and optimize proposal development. You will also leverage technology tools such as Jira, Google Workspace, and AI-driven solutions to streamline workflows, improve efficiency, and track key performance indicators for continuous improvement.

We seek candidates with strong writing and communication skills, exceptional attention to detail, and the ability to manage multiple priorities effectively. Experience in content creation, technical writing, or editing is a plus. Key Responsibilities

• Coordinate Cross-Team Proposal Activities:
• Coordinate with team members, Sales, Client Success and subject matter experts (SMEs) to ensure clarity in client/ prospect proposal requests, submission of complete files for analysis, and timely delivery of output.

• Track and Manage Proposal Requests:
• Create and manage request/project tickets for tracking proposal requests.
• Maintain organized records of all opportunity-related documents in trackers and archives, following established standards.
• Monitor and follow up on outstanding tasks to ensure on-time completion.

• Reporting and Metrics Management:
• Track key performance indicators related to proposal volume, submission deadlines, and task completion rates (e.g., on-time submission rates, proposal success rates, workload distribution) to measure performance and identify areas for improvement.
• Generate and provide reports for leadership on proposal activity and productivity.

• Content Management:
• Facilitate the periodic content review process, working with SMEs to ensure all proposal materials are current.
• Help maintain libraries of content and templates for consistency across proposals.

• Stakeholder Coordination:
• Act as the primary point of contact for proposal-related inquiries and serve as a liaison between internal teams.
• As assigned, assist stakeholders, including Marketing, in leveraging the detail of our content libraries efficiently.
• Participate in meetings with stakeholders—including Sales, Client Success, Marketing, and Operations—to align proposal activities with broader business goals.

Qualifications & Requirements

• Strong time management and project tracking skills, with the ability to manage multiple priorities simultaneously.
• Excellent attention to detail and organizational skills.
• Strong interpersonal and communication skills, with experience collaborating with cross-functional teams.
• Experience in tracking metrics and developing KPIs is preferred.
• Experience with Google Workspace (Docs, Sheets, etc.) or similar tools required.
• Familiarity with Jira a plus.
• Experience with efficiency approaches (e.g., Six Sigma training) or using AI tools is a plus.
• Ability to thrive in a fast-paced environment and reliably meet deadlines.
• Experience in content creation, technical writing, or editing is a plus.

Salary Range: 65,000 - 75,000
